1. Overview
This Privacy Policy explains how Deskmate collects, uses, stores, shares, and protects information when you use our desktop application, websites, authentication pages, hosted backend, billing flows, creator tools, marketplace features, support forms, update feeds, and related services. It should be read together with our Terms of Service.
Deskmate includes features that may process voice, text, screen context, avatar assets, account data, billing records, creator information, and provider routing information. You control whether to use optional microphone, live audio, screen sharing, screen awareness, and creator upload features.
2. Information We Collect
Account information
When you register or log in, we may collect your email address, authentication provider, login timestamps, account status, locale preference, and related account metadata. If you use Google sign-in, Google may provide account information needed to authenticate you, such as your verified email address.
Billing and purchase information
Stripe processes payments, subscriptions, invoices, customer portal sessions, avatar purchases, top-ups, refunds, disputes, and creator payout onboarding. We do not store full card numbers. We may store Stripe customer IDs, checkout session IDs, subscription IDs, connected account IDs, plan status, entitlement status, minutes usage, avatar purchase records, and payout status needed to provide billing and marketplace features.
Voice, screen, and AI interaction data
If you use voice, live audio, screen sharing, screen awareness, or provider relay features, Deskmate may process prompts, audio, text, selected context, screen-derived information, provider session metadata, model routing details, and related technical data needed to run the session. Depending on the feature and provider, this information may be transmitted to third-party AI providers or processed through Deskmate-managed provider access.
Creator and marketplace data
If you use Creator Studio or operations tools, we may collect creator profile information, handles, avatar titles, descriptions, categories, prices, sprite sheets, preview images, manifests, submission history, approval status, purchase records, payout readiness, and creator support requests.
Device, usage, and diagnostics
We may collect technical information such as app version, operating system, update status, error details, service health signals, request metadata, feature usage, provider capacity events, and similar diagnostics needed to operate, secure, troubleshoot, and improve Deskmate.
Support and communications
When you contact us, join a newsletter, submit a support form, or communicate with Deskmate, we may collect your name, email, message content, account email, support context, and related communication metadata.
3. Information Stored Locally
The desktop app may store settings, sessions, avatar selection, installed avatar metadata, provider key configuration, theme choices, cached assets, logs, update files, and other local application data on your device. You are responsible for protecting access to your device and local user profile.
4. How We Use Information
We use information to:
- Provide, maintain, secure, and improve Deskmate.
- Authenticate accounts and prevent unauthorized access.
- Process subscriptions, top-ups, marketplace purchases, refunds, disputes, and creator payouts.
- Run voice, screen-aware, avatar, provider relay, and AI-assisted features you choose to use.
- Store marketplace catalog data, avatar ownership, creator submissions, and moderation decisions.
- Send support replies, account notices, product updates, receipts, and operational messages.
- Detect abuse, enforce our Terms, protect users, and comply with legal obligations.
- Debug errors, monitor health, manage capacity, and improve reliability.
5. AI Providers and Model Processing
Deskmate may send prompts, audio, text, screen-derived context, session metadata, and other inputs needed for an AI feature to selected third-party AI providers or to provider APIs accessed through Deskmate-managed credentials. If you bring your own provider key, your provider account and the provider's own policies may govern logging, retention, billing, filtering, and processing.
Do not use voice, screen, or provider features with sensitive information unless you have the necessary rights, notices, permissions, lawful bases, and consents, and unless you accept the risks of transmitting that information to Deskmate and any selected provider.
6. Third-Party Services
We use third-party services to operate Deskmate. These may include Google for authentication, Stripe for payments and creator payouts, Google Cloud Run and Firestore for hosting and account/state storage, Google Cloud Storage for avatar assets and update files, Google Analytics for website traffic, referral, device, browser, event, and approximate location analytics, Brevo for newsletter and support email, AI providers for model processing, and operating system or browser components used by the desktop app.
Each third-party service processes information according to its own terms and privacy policy. We share information with service providers only as needed to operate, secure, support, bill, or improve Deskmate, comply with law, or protect rights and safety.
7. Marketplace, Creator Content, and Public Information
Avatar titles, creator names, handles, descriptions, categories, prices, previews, sprite sheets, and published marketplace listings may be visible to users. Secret or hidden catalog behavior may limit normal browsing visibility, but no Internet-connected service can guarantee that metadata or assets will remain undiscoverable in every circumstance.
Creator payout profiles, connected account status, private submission details, moderation notes, and account-specific purchase records are used for operations, compliance, billing, support, and marketplace administration.
8. Legal, Safety, and Enforcement Disclosures
We may disclose information when we believe disclosure is necessary or appropriate to comply with law, respond to legal process, enforce our Terms, investigate abuse, prevent fraud, protect users, protect creators, protect payment systems, address intellectual property claims, respond to security incidents, or protect Deskmate's rights, property, or safety.
9. Retention
We keep information for as long as needed to provide Deskmate, maintain accounts, process billing, support purchases and payouts, comply with law, resolve disputes, enforce agreements, prevent abuse, and maintain operational records. Some records, such as payment, tax, dispute, security, and creator marketplace records, may be retained after account deletion where required or appropriate.
10. Security
We use technical and organizational measures designed to protect information, including access controls, cloud service permissions, secret management, HTTPS transport, and provider security features. No desktop application, Internet service, AI integration, payment processor, storage provider, or network transmission can be guaranteed to be private, secure, uninterrupted, error-free, or free from unauthorized access.
11. Your Choices
You can choose whether to create an account, use Google sign-in, subscribe, purchase avatars, upload creator content, use microphone features, use screen-aware features, bring your own provider keys, join the newsletter, or contact support. You may unsubscribe from marketing email using the unsubscribe link where provided. You may request account deletion or support by contacting us.
12. Children
Deskmate is not directed to children. Do not use Deskmate if you are not old enough to enter into these terms or if your use would require parental consent that has not been obtained.
13. International Processing
Deskmate and its service providers may process information in countries other than your own. Laws in those countries may differ from the laws where you live.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Updated policies may be posted on this page, shown in the app, or provided through another reasonable method. Continued use of Deskmate after an update means the updated policy applies.
